Using FTP sync: 

  • FTP sync will work on CSV file uploaded on FTP. 
  • Few points need to consider before scheduling FTP sync.
  • Prepare FTP file with data. FTP should be in CSV format.
  • FTP file should be in CSV format with below fields:        

  • First Name, Last Name, User Id, Facility Id, Badge Id, Site Name, Company Name, Dept Id, Access Level are mandatory Fields.
  • User Id (Employee Id) is unique field used to identify unique user during FTP user sync.
  • Badge Id is a card no assigned to user to access machine.
  • Site Name is name of the site you want to assign to user. You can create multiple entries for same user different site name if user is having access to multiple sites. You can add CON, VIS or ALL in place of Site name based on configuration provided in FTP sync (More Details Refer How to Schedule FTP Sync).
  • Site Name should be same as Site code in portal.
  • Company Name is name of the Sub contractor.
  • Dept Id is name of Department assigned.
  • There is no need to add Contractor and Department before FTP sync. If Contractor or department does not exist then it will create new during sync.
  • Make sure you upload CSV file with correct data to FTP before scheduling FTP sync from portal.
  • FTP sync will add/update/delete record based on records provided in CSV file. Any user created by manual process will not be affected by FTP sync. i.e. using add user form or using bulk upload
  • If any user created by FTP does not exist in next sync file then that user access will be removed during sync and user will be deleted.
  • User details and user list page will shoe FTP icon with user name if user is created by FTP sync.

 

  • How to Schedule FTP Sync :
    1. You can schedule FTP sync from Company details.
    2. FTP schedule option is only available for Customers.

Administration >> Company >> FTP Details.

  1. Click on Edit to add FTP details.
  2. Add FTP file path.
  3. Add user name to login FTP.
  4. Add Password for FTP login.
  5. Select Frequency to run FTP sync i.e. Daily, Weekly, Monthly, Yearly.
  6. Select day and time for sync.
  7. Select sites for CON, VIS, ALL.

CON, VIS, ALL is used for common site combinations. For example, some users have same access i.e. they have access to same sites, to reduce number of records for each site in FTP sync, you can configure those sites for CON, VIS or ALL and you can add CON/VIS/ALL in place of site name.

You can select different site combinations for all 3.

  1. CON, VIS and ALL configuration is optional.
  2. After adding details click on save to schedule job for sync.
  3. Sync will automatically start at scheduled time and will create users with access.
  4. After completion of sync it will send an email notification with Sync status i.e. completed or completed with Error. If there is issue with any record and is not processed due to any issue it will share CSV with notification email, which includes all error records with error description.
